Every person in Smarp is assigned a role in their company Smarp domain and each role has different permissions. There are currently five different roles in Smarp and this guide will explain the similarities and differences between the different roles in Smarp.
User or Sharer
The User or Sharer role is the most common role that your users in Smarp will have. A sharer is a regular user who can use Smarp to propose and/or share content with other colleagues and their networks. Effectively, in most cases, everything you create on your company Smarp domain is for your Sharers to engage with.
Users can only propose content to be published on your company's Smarp domain. But, depending on your company settings, users might be able to automatically publish internal content without approval. Users cannot adjust any of the company settings for your Smarp domain. Users can see the tabs Published, Perks, and Resources in the menu bar if Perks and Resources are enabled for your domain.
Channel Analyst
Please note that the Channel Analyst role is only available if it has been enabled for your company Smarp domain. Reach out to your dedicated Customer Success specialist from Smarp for assistance.
The Channel Analyst is a user with the added capability of being able to view and manage analytics for selected channels in Smarp. Unlike the channel manager, the channel analyst cannot edit users or content in their channels, they can only see the analytics for those channels. A channel analyst can hence:
-
See Analytics for posts and users who posted in their channels
In addition to what a regular user sees, channel analysts can see the tab Analytics in the menu bar.
Only an Admin can assign someone to be a channel analyst for a channel in their domain or group. For instructions on how to do so, see here.
Channel Manager
Please note that the Channel Manager role is only available if it has been enabled for your company Smarp domain. Reach out to your dedicated Customer Success specialist from Smarp for assistance.
The Channel Manager's name itself gives a good understanding of what the role is. The channel manager manages channels in Smarp. Effectively, the channel manager is a user with a few extra privileges. Channel managers can:
- Approve, edit, remove and create posts for the channels they manage
- Add and remove users subscribed to their channels
- See Analytics for posts and users who posted in their channels
In addition to what a regular user sees, channel managers can see the tabs Analytics and My Channels on the menu bar.
Only an Admin can assign someone to be a channel manager for a channel in their domain or group. For instructions on how to do so, see here.
Group Admin
Please note that the Group Admin role is only available if Groups has been enabled for your company Smarp domain. Reach out to your dedicated Customer Success specialist from Smarp for assistance.
A Group Admin has the capacity to manage everything for one group, namely the group they themselves are in. Group admins manage their group and all users, settings, channels, and analytics for their group.
Group admins can:
-
Approve, edit, remove and create posts in all channels in their group
-
Add, edit and remove users and teams in their group
-
See Analytics for posts and users who posted in the channels in their group
-
Add Resources for their group
-
Create, edit, and remove Perks for their group (but cannot edit Perks settings!)
-
Access and edit some Settings for their group
-
Create and edit Channels
-
Invitation and registration settings
-
Email digest settings
-
Group Shortcut settings
-
Intergroup accessibility settings
-
In addition to what a regular user sees, group admins can see the tabs Analytics, Users, and Settings on the menu bar.
Company Admin
A Company Admin can manage the whole company's Smarp domain. Company admins manage all users, settings, channels, and analytics for their whole Smarp domain. Since company admins can do everything in the domain, it can be useful to create Group admins and Channel managers to take some of the easier tasks, so that company admins have more time for the centralized management of their domain.
Company admins can:
- Approve, edit, remove and create posts in any channels in the domain
- Add, edit and remove users and teams in all groups in the domain
- See Analytics for the whole domain
- Add Resources in any group in the domain
- Create, edit, remove and give out Perks in any group in the domain
- Access and edit all Settings for the domain
- Create and edit Channels in any group
- Invitation and registration settings in any group
- Email digest settings in any group
- Edit post settings for the whole domain, including Archive settings, Points for proposing content, and adding and removing Campaigns,
- Add feeds to import content to the domain from social media or via RSS
- Edit sharing settings, including which social networks users can share to and Points for shares
- Edit Perks settings including enabling or disabling Rewards, choosing who receives claimed reward emails on a domain level, and creating Leaderboards

A company admin can see the same tabs as a group admin can, however when navigating to either the Users, Settings, or Analytics tabs, the Company Admin has the option to filter between groups to view the users, settings, or analytics for any group.
