A Company or Group Admin can edit the settings for the email digest that is sent out from Smarp. The email digest settings are set on a group-level, meaning that each group on Smarp can create their own email digest that suits their group's users best.
To find the Email digest settings in Smarp, click on the Settings tab in the menu bar. Then, if you are a Company Admin, you first have to navigate to the correct group for which you want to edit the email digest settings. A group admin will see only their own group's settings and can therefore click directly on Email digest in the left-side list.
There are four main parts of the email digest that can be set and edited in the settings: Subject line, Greeting message, Days of the week and Time.
Each part is explained in detail below:
- Subject line: here you can set the subject for your email digest. The title will appear as the subject of the email that is sent from Smarp.
- Greeting message: here add a message that greets your users as they open the email. You can, for example, give a short explanation of the kind of content that the email digest contains.
- Days of the week: mark here the days that you want the email digest to be sent out to the users in your group. If you have marked, for example, M, T, W, Th, and F then the email is sent out on all weekdays, i.e. Monday, Tuesday, Wednesday, Thursday and Friday.
- Time: set here the time that you want your email digest to be sent. Note that the time is set in UTC or Coordinated Universal time. Therefore you need to remember to convert your local timezone to UTC in order for the email to be sent the right time.
- For example, 9am New York time is 2pm UTC. If you want your email digest to be sent out at 9am New York time, you should set 14 in the Email digest settings as this corresponds to 9am New York time.
You will be able to see a preview of how your email digest will look like on the right-side of the settings box. When your email is sent to your users, they will see something like this:
The email digest will contain a maximum of 10 posts.
Users can edit their own notification preferences in Smarp and they are able to override the date and time settings that are set in the Email digest by admins. This means that if your Smarp group's email digest settings have been set to send out an email digest on, for example, Mondays and Wednesdays at 9am UTC, a user can from his or her personal settings change this so that the email digest is sent out to that individual user on only Fridays at 11am UTC. Users can change their own settings but not the settings of any other user. If users do not edit their notification settings themselves, then they will receive the email digest as set in the Email digest settings by the admins.
